Offering a Traineeship

Traineeships are an exciting new initiative which have been recently introduced by the Government. Traineeships offer young people aged between 16 and 23 who want to work a chance to prove themselves in the workplace. Traineeships give the opportunity to develop the skills and work place experience that employers require by providing high quality placements alongside on-going training and support from Petroc. 

Whilst on a Traineeship learners gain:

  • Work preparation training which ensures young people have the skills and confidence needed for an Apprenticeship or other job.
  • Maths and English support to improve young people’s literacy and numeracy.
  • Meaningful and structured work placements which provide insight and experience of the world of work.
  • The option to study a host of short courses including customer service.

The hope is that at the end of a Traineeship that the learners will be offered a job or Apprenticeship from their work placement.

Why a Traineeship with Petroc?

We have been offering Traineeships for two years with some fantastic successes (see case studies section later on). We have gained the knowledge necessary to ensure that we provide a young person with a real interest in your vocational area and give them the skills that they need to be able to succeed. Many of our trainees have been offered full time employment or Apprenticeships following their Traineeship and have proven to be a real asset to the companies which have employed them (See employer feedback section later on).

What kinds of vocational areas can offer a Traineeship?

Almost any work place could offer a Traineeship. We can support learners in a variety of occupational areas. The only areas that we can’t place a learner is where a professional qualification is needed to progress within that chosen role (such as medicine or teaching). So far we have had trainees in the following vocational areas, but we are always willing to try something new!

  • Care
  • Teaching Assistants
  • Painting and decorating
  • Plumbing
  • Car maintenance
  • Retail
  • Fisheries
  • Grounds maintenance
  • Hairdressing
  • Catering
  • Administration
  • Graphic design

Would a Trainee cost us anything?

No! Trainees will work for free for the duration of their time with you. They are there to learn from you both the soft and hard skills needed for employment.

We do ask employers that wherever possible that they reimburse travel expenses or any clothing/equipment needed for their placement. However, the majority of our learners receive bursary money which can cover this.

How long does a Traineeship last?

A Traineeship can last between 6 weeks and 6 months, with an average of 13 weeks in placement. 

How would we find a Trainee?

Often we will have a young person waiting for a Traineeship that you can offer. If we don’t then we can advertise your Traineeship for you on the National Apprenticeship website and the Petroc Job Shop websiite. We can also assist you with advertising in the local press.

What kind of young people are looking for a Traineeship?

The young people we have looking for a Traineeship are vocationally focussed and keen to go straight into the workplace. They are enthusiastic and hardworking young people however, most of them need a bit more support than your average apprentice and they are on a Traineeship to learn the skills they need to become good employees.

How many hours would they work a week?

Most of our trainees work 3 days a week for 6 hours per day – however this is open to negotiation. They are able to work unsociable hours if necessary within their chosen placement.

What else would they be doing during the week?

We offer a one week induction for them which equips them with the basic skills needed before coming into the workplace. After this they follow a programme of maths and English alongside their work placement, coming into college once a week for three hours. They have a visit once every two weeks from either an employer tutor or the programme manager. More frequent visits can also be arranged should they be required.

What would we need to do in terms of health and safety?

You will have a workplace visit from our work placement coordinator who will fill out a simple health and safety form with you. Recent legislation has made the health and safety requirements of work placements far less arduous. Click here for information regarding employers responsibilities. Is there anything I need to know about Safeguarding?

We provide safeguarding information sheet to both yourselves and the Trainee which outlines how to keep all parties involved safe. Both our work placement coordinator and programme manager are happy to answer any queries you may have.

How would insurance work?

If you hold Employers liability then your Trainee will be fully covered under this insurance.

What paperwork is required from me?

Paperwork is minimal for the employer/supervisor and consists of:

  • Participating in the Health and Safety Assessment (this takes maximum of 30 minutes)
  • Signing the Traineeship Learning Agreement
  • Working with the learner to identify goals to work to each week which they will record in their logbooks
  • Carry out a review every 4 weeks with the learner in their logbooks
  • Sign the timesheet in their logbook
  • Provide an interview or exit interview at the end and a written reference

What support is given to the Trainee from Petroc?

The learner has a visit once every two weeks in the workplace to see how they are getting on and if there are any issues that need addressing. More frequent visits can also be arranged should they be required. The learner also comes into college once a week where they will see the programme manager. We also offer additional support to any learners who feel that they need it such as counselling or referrals to other agencies.

How can we approach any issues with a Trainee?

We appreciate that sometimes employment law can make it difficult to approach employees about issues in the work place. However, trainees are in the work place to learn and therefore it is important that they get any feedback you feel necessary to improve their working skills. Hopefully this would be put to them in a constructive manner which can help them to make the best of their experience. It is also useful if feedback is given to us so that we can also help the Trainee. This can be done either through one of the work place visits, via the logbook or by phone or email to the relevant member of staff.

What makes a Work Placement ‘high quality?’

There are several elements which help to make a work placement ‘high quality’

  • That there is the potential for a job or an Apprenticeship at the end of the Traineeship, dependent on how the placement progresses.
  • That the placement provider is happy to fill out the relevant paperwork on a regular basis.
  • That the placement provider is willing to help train the Trainee in both soft and hard skills relevant to their placement and is also willing to engage with the Trainee and Petroc staff in the system of goal setting and reviewing.
  • That the placement provider is happy to liaise with Petroc staff and to give constructive feedback where necessary to the Trainee and Petroc staff.
  • That the learner is well supported by Petroc to be able to meet their goals and targets and to progress well throughout their placement.
  • That the placement provider gives an appropriate reference at the end of the placement.

Can I have more than one trainee?

Absolutely! If you have the potential for more than one job or Apprenticeship at the end of the Traineeship then you can take on more than one Trainee. You could take trainees on in more than one area of your business – reception and cleaning for instance.

Who should we call if there is an emergency?

If there is any sort of problem or issue you can call either the work placement supervisor or programme manager (numbers are in the front of this booklet). In very rare circumstances you may not be able to get hold of them – in which case please call 01271 852351 or 01271 338118.

What do I do if I need to make a complaint?

Can we get more involved with Traineeships?

We are always looking for employers to get more involved with Traineeships. There are several ways, other than taking on a Trainee that you could get involved.

  • By mentoring a new employer through the process
  • By coming in to speak to new trainees
  • By meeting with us to help us develop our curriculum (what we teach) further
  • By coming in to deliver training to trainees

Are there any incentives to employ a trainee as a worker or Apprentice after the Traineeship?

If you take on a young person aged 16-24 as an apprentice you may be eligible for a grant of £1,500.
